Track each client's class packs, the status of every class and the remaining balance in one file. The balance is calculated for you: an early cancel goes back on the pack, a late cancel or no-show comes off it.
What is in the file
Packs sheet
Client, pack name, number of classes, start date and expiry date. Used and remaining classes are calculated.
Classes sheet
Date, time, client, pack, instructor and status. Pick the status from a list: booked, attended, early cancel, late cancel, no-show.
How to use sheet
A short note on which statuses come off the pack and how the sheet works.
How to use it
- Delete the sample rows and add one row per pack sold on the Packs sheet.
- Add every booking to the Classes sheet, using the same client and pack name as on the Packs sheet.
- Update the status when the class happens or is cancelled.
- Contact clients whose remaining classes are close to zero about a new pack.
How the sheet counts
- A class comes off the pack when it is booked. An early cancel goes back on the pack.
- Late cancels and no-shows come off the pack by default. If your studio returns late cancels, mark that row as an early cancel.
- Use the cancellation policy template to write down your own rule.
When a spreadsheet stops working
- When two people open the same file, one overwrites the other, so the front desk and instructors cannot update it at the same time.
- Clients cannot see their remaining classes, so they keep asking.
- In Corenta a class comes off the pack when it is booked, your cancellation rule is applied automatically, and clients see their remaining classes in their own app.

How do I track class packs in a spreadsheet?
Keep packs and classes on two sheets, mark the status of each class and calculate the balance with a formula. This template comes set up that way.
Does a late cancel come off the pack?
That depends on your studio's rule. In the template late cancels come off by default; if you return them, mark the row as an early cancel.
Does it work in Google Sheets?
Yes. Upload the file to Google Drive and open it with Google Sheets; the formulas and status list work there too.
