Excel booking template

A free Excel booking template for small studios

An Excel template that keeps all bookings in one list and shows the weekly schedule on a separate sheet. For small studios that want some order before moving to booking software.

What is in the file

Bookings sheet

Date, start, end, client, phone, service, instructor, status and notes. Service, instructor and status come from a list, and a warning column flags overlapping times for the same instructor.

Weekly schedule sheet

Monday to Sunday, 7:00 to 22:00 in half-hour slots. Type instructor names in to see the week at a glance.

Settings sheet

Lists of services, instructors and statuses. Changes here show up in the drop-down lists.

How to use it

  1. Add your own services and instructors on the Settings sheet.
  2. Add each booking as a row on the Bookings sheet; sort and filter by date.
  3. Fill in the weekly schedule at the start of the week and save a copy named after the week.
  4. Do not delete cancelled bookings; change their status so the history stays.

Good to know

  • People in the sample rows are fictional; delete them before use.
  • Names and phone numbers are personal data. Do not share the file through a public link.
  • Use the class pack tracking sheet to track remaining classes.

Where an Excel booking sheet falls short

  • Excel does not stop two bookings in the same slot; the warning column in the template only points clashes out.
  • Clients cannot see open times, so they message or call to book.
  • In Corenta clients see open times and book themselves, clashing bookings are not created, and reminders go out as app notifications.

Questions people ask

How do I make a booking system in Excel?

Keep one row per booking on one sheet, use drop-down lists for service and status, and add a separate sheet for the weekly view. This template comes set up that way.

How do I spot double bookings in Excel?

The clash warning column in the template flags overlapping times for the same instructor on the same day, ignoring cancelled bookings. Excel does not prevent clashes, it only shows them.

When should I move to booking software?

When more than one person updates the same schedule, clients keep messaging to book, or class pack tracking gets messy, the spreadsheet has stopped being enough.
