Guide for studios
Bring your client list and package balances from Excel into Corenta
This guide covers what you can actually do today: the client list (name, email, phone) is imported from a file; package balances are set up by hand for each client. Appointment history and payment history are not imported. If you like, send us your file and we move your client list and pack balances within 24 hours, free of charge.
What moves and what does not
What can move today
- Client list: name (required), email and phone (optional). From a file, up to 200 rows at a time.
- Package balance: no bulk import. For each client, in the web panel, you type the remaining sessions and the validity by hand.
What does not move today
- Appointment history and payment history.
- Other columns in your client file (birth date, notes, health information and so on). On the web they stay as “Don’t import” in the mapping step.
- The team (specialist) list.
Before you import client data, make sure you have a basis for processing it (a privacy notice and, where required, explicit consent). This guide is not legal advice.
1. Prepare your client list
Open the template and paste your clients from the old list below the header. The sample row in the template is not a real person; delete it before you upload.
An Excel (.xlsx) template is also in the app: the first step of the “Import from Excel” screen in the Clients section.
Columns
- Full name: Required. Must be filled in on every row.
- Email: Optional. If given it must be a valid address (name@domain.com form). It is saved in lower case.
- Phone: Optional. Saved as you type it, up to 40 characters; the app does not reformat the number.
Rules
- One file can hold up to 200 client rows. Split a longer list into parts and upload each part separately.
- Headers must be on the first row. On the web, columns with other names can stay; choose “Don’t import” for them in the mapping step.
- If the same email, phone or name repeats in the file, only the first is kept. Clients already in the studio count as “possible duplicates” in the review and are skipped.
If you use Excel
- You can upload your Excel file (.xlsx) as it is: the first row of the first sheet must be the header. You do not need to convert it to CSV.
- If you prefer CSV, pick the “CSV UTF-8” format in Save As. Without UTF-8, Turkish characters are corrupted. The web and the mobile app read comma and semicolon separators; the import in the mobile app accepts only these three columns.
- Keep the phone column formatted as Text: if the column is not text, Excel removes the leading zero of a number like “0555…”. Format the column as Text first, then paste the numbers.
- In some regional versions of Excel, double-clicking a CSV shows everything in one column. Open the file with Excel’s text/CSV import option, or save the list as .xlsx.
2. Upload to Corenta (web panel)
The import is done in the web panel. Step names match the screen.
- Open the Clients section and press “Import from Excel” (with no clients yet, the same button is on the empty list).
- On the “Download template” step, if your file is ready, press “My file is ready, continue”.
- On the “Upload file” step, pick your .csv or .xlsx file.
- On the “Map columns” step, check that your columns were matched automatically. If needed, pick Full name, Phone, Email or Don’t import for each column.
- On the “Review” step, see the counts of valid, invalid and possible duplicate rows. Invalid rows are listed with their row number (for example, empty name or invalid email format).
- Press “Confirm and import”. The results report shows how many were added and skipped; you can download the error list as CSV.
The import adds each client as an accountless record: it does not send the client an email or an invitation and does not create a sign-in account.
3. Set up package balances by hand
A client’s remaining sessions from the old record are set up as a new package. There is no bulk import; you do it once for each client. Typing the session count and validity by hand exists only on the web panel’s sell screen; the mobile sell screen does not have it.
Preparation
- For each client, note two things from the old record: the remaining session count and the package end date.
- Work out how many days are left from today to the end date. The new package is valid for that many days, starting today.
- In the Packages section, have an active package template close to the client’s package. If there is none, create one with “New package”. If you did not pick services on the template, the package applies to all services.
Steps
- Open the client from the Clients section and go to the Packages tab.
- Press “Sell new package” and pick the package template.
- On the “Customize” step, type the remaining sessions in Number of sessions and the days left in Valid for (days). Type 0 in the Price field: a carried-over balance is not a sale. If you leave it empty, the template’s price is used and the package card looks like an unpaid balance. Leave the coupon code empty.
- On the “Payment” step, do not enter an amount. If the payment line stays empty, no payment record is created. Then press “Sell package”.
- On the client’s Packages tab you see the package with remaining/total sessions. The total is the session count you typed (for example 6 / 6); the old package’s original total is not kept.
Afterwards, and limits
- If the validity is too short, use “Extend” on the same tab (1–365 days, a reason of 3–500 characters). Extending applies only to active, unexpired packages, moves the end date forward and does not add sessions.
- In the package ledger this package appears as a purchase line; past movements from the old record are not written.
- There is no screen that changes the remaining sessions after the sale. Check the number twice before you sell; if you entered it wrongly, contact support.
- Do not set up a package for a client with 0 sessions left; the sell screen needs at least 1 session.
Not available today
- No import of appointment history, payment history or team.
- No bulk import of package balances; each is set up by hand.
- If you like, send us your file and we move your client list and pack balances within 24 hours, free of charge. Booking and payment history don't move over.
